1. Information We Collect

We collect information you provide directly:

Account information: Name, email address, password (encrypted)
Payment information: Processed by Paystack (we never store card details)
Files you upload: Documents for processing (temporarily stored)
Usage data: API calls, features used, Makes consumed
Referral source: How you discovered DocMake (optional)

2. How We Use Your Information

We use your information to:

Provide and maintain the DocMake service
Process your document requests
Track Makes usage and API limits
Send transactional emails (verification, receipts, security alerts)
Send marketing emails (only if you opt in)
Improve our service and develop new features
Detect and prevent abuse or fraud

3. File Handling & Privacy

Your files are private. Specifically:

Files are processed in memory and deleted after processing completes
We do not read, analyze, or access your files except as needed to process your request
We do not share your files with any third party
We do not use your files to train AI models
We do not sell or distribute your file content

4. Data Storage & Security

Your data is stored on secure servers provided by Render and Firebase (Google Cloud). We implement:

Encrypted data transmission (HTTPS/TLS)
Encrypted password storage (bcrypt via Firebase)
API key hashing (SHA-256)
Regular security reviews

5. Third-Party Services

We use these third-party services to operate DocMake:

Firebase (Google) — Authentication and user management
Paystack — Payment processing (card details never touch our servers)
Brevo — Transactional email delivery
Render — Application hosting
Neon — Database hosting
OpenRouter, Groq, Google AI — AI model inference (file content may be sent for processing)
Pexels — Stock image search (search queries only, no file data)

These services have their own privacy policies. We encourage you to review them.

6. AI Processing

When you use AI features (summarize, analyze, chat, slides):

File content or extracted text is sent to AI providers for processing
AI providers do not retain your data after processing (per their API policies)
AI responses are not used to train models
You can use DocMake without AI features if you prefer

7. Marketing Communications

We only send marketing emails if you explicitly opt in. You can choose your preferences:

Weekly — Product updates, tips, and new features
Monthly — Digest of updates and improvements
Never — No marketing emails (transactional emails still sent)

You can update your preferences at any time in Settings.

8. Data Retention

Account data: Retained until you delete your account
Uploaded files: Deleted after processing (typically within minutes)
Usage logs: Retained for 30 days for analytics
API keys: Retained until revoked or expired

9. Your Rights

You have the right to:

Access your personal data
Correct inaccurate data
Delete your account and all associated data
Opt out of marketing communications
Export your usage data

10. Cookies

DocMake uses essential cookies for authentication and session management. We do not use advertising cookies or third-party tracking.

11. Children's Privacy

DocMake is not intended for users under 13 years of age. We do not knowingly collect information from children.

12. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via email or in-app notification. Continued use of the Service constitutes acceptance of the updated policy.
